Overview
Pinning and editing recipients allows recipient management to be more efficient and clear by enhancing decision-making and the Job Role field, ensuring users have the right information at their fingertips.
Key Improvements:
Empowering administrators with Pin and Edit functionality to streamline recipient selection by adding the Job Role field to the notes and Internal Contact Notes into the new notes BDTM UI.
These enhancements simplify workflows, improve accuracy, and create a more intuitive experience, ensuring users can manage recipients with confidence and ease. Contacts can be organized for quick access, and pinned contacts can be properly categorized for streamlined selection. The Job Role field and internal contact notes will display essential context when choosing recipients and enhancing collaboration and decision-making, ensuring smoother communication and better record-keeping.

Administration
Pin and Unpin Contacts in Recipients Lists
- Dealer Administrators, General, Service, and Parts Managers, aswell as Service Advisors have the ability to pin and unpin contacts listed on a recipients list.
Editing Case Details page Notes section
No Pinned Recipients
- After selecting a recipients group and expanding the Send To recipients list, hovering over a contact will highlight it, and two buttons will display: right justified, an edit pencil, and a push pin.
- On hover of the push pin icon, a tooltip displays Pin Contact
- When clicked, the icon will change to a filled push pin indicating the pinned state, and on hover, the tooltip displays Unpin Contact
- Once the Send To recipient's list is closed and reopened, the pinned contacts will be displayed at the top, alphabetically in a Pinned section.
Pinned Recipients Exist
- After at least one contact in a Send To recipients list has been pinned, a new Pinned recipients group will be displayed in the recipients group menu.
NOTE: The contacts group list will display all pinned recipients segmented by their respective groupings.
Editing Contacts in the Notes Send To Recipients Lists
General Managers, Service Managers, and Parts Managers will see the following when viewing the recipients dropdown from the Editing Case Details page Notes section:
- After selecting a recipients group and expanding the Send To recipients list, hover over a contact to highlight it which will display a right-justified edit pencil and push pin.
- On hover of the edit pencil icon, a tooltip displays Edit Contact
- The edit pencil will be hidden when the focus is no longer on the contact.
- When clicked, the Edit Case Contact popup will appear.
- "Dealer"/Location/Customer Contacts
- All fields are available for entering/editing
- Registered Contacts
- When the contact does not have a Job Role selected, you can select one that will update the contact. Once saved, this field then can only be updated by the contact.
- Internal notes can be added/edited
When a contact has an internal note, this note will display a chat bubble icon below the email and phone for the contact (internally visible).
Non-Administrative
Once a user with Administrator privileges has pinned contacts, they will be visible to everyone at their location in a recipients group Pinned or in the Recipients Group list at the top of the pinned section.
